Why won't a report run, or why does it come back empty?
You open a report from the Reports area or from a module's Reports dropdown, and it either does not load, shows nothing, or is missing from the menu altogether. Any user who can open the report can run the checks below. Most empty or stuck reports come down to the parameters on the right side of the viewer, the browser, or the report not being assigned to your login. Work through the checks in order before reaching out to our support team.
Check the parameters first
- Open the report. The Parameters Panel is on the right side of the viewer. If you do not see it, click the funnel icon (Show/Hide Parameters) in the toolbar.
- Look for any parameter that says Please input a valid value. The report will not run until that field has a selection.
- For dropdown parameters, use Select All if you are not sure which values to pick, then narrow down afterward.
- Check the Date From and Date To values. Widen the range to a full year and see whether rows appear. If they do, the records you expected simply fall outside the range you entered.
- If the report uses a Quarter/Year dropdown instead of a date range, confirm both are set to the period you want.
- Changing any parameter reloads the report automatically. Give it a moment to finish before judging the result.
PLACEHOLDER: Confirm which date field common reports filter on (for example the transaction date, the issue date, or the date the record was created). Customers often enter a range that matches one date on the record while the report filters on another, so an example here would help.
Check block and lot or record number entries
If the report asks for a permit number, reference number, or block and lot, the value must match how it is stored on the record. Open a record you expect to see, copy the number or block and lot exactly as it appears there, and paste it into the parameter.
PLACEHOLDER: Confirm the expected block and lot format for report parameters (for example whether a qualifier such as 179.01 is entered with the decimal, and whether leading zeros matter). One open ticket reports a block and lot search returning zero rows for a permit that exists, so this may also be a report issue rather than a formatting one.
The report is still loading or the screen is white
- Click Stop Rendering (the X in the toolbar), narrow the date range, and run it again. Large date ranges take longer.
- Click Refresh in the report toolbar.
- Make sure you are using a supported browser. We recommend Google Chrome or Microsoft Edge. Internet Explorer and the older version of Edge are not supported and can cause buttons not to respond or pages not to load.
- Clear your browser cache. In Chrome or Edge, press Ctrl + Shift + Delete, set the time range to All time, check only Cached images and files, and delete. Then reload GovPilot and try the report again.
- If a download or print does nothing, check whether your browser blocked a pop-up or a download for the GovPilot site and allow it.
PLACEHOLDER: Confirm whether the report viewer or downloads are affected by browser pop-up blockers, and whether there is a viewer time-out after which a long report stops rendering. The source material does not document either behavior.
The report is missing from the menu
Reports are granted per user. If a report you used before is not in the Reports menu, or a coworker can see it and you cannot, the most likely cause is that the report is not checked on your module access. A system administrator can check this:
- Go to Account Settings, then User Role Management, then User Management.
- Open the user and find the module assignment.
- Confirm the Reports checkbox is enabled on that module assignment, along with the correct Data Access Type.
If your access looks correct and the report is still gone, it may have been moved or renamed. Reach out to our support team with the report name and the module.
The report is a printed document, not a list
Some items in a record's Print Menu, such as certificates and permits, are built as reports. If one of those opens completely blank, that is something for our team to look at; it is not caused by missing data on the record. If only some fields are blank, open the record, fill in the empty fields, save, and print again.
What to send our support team
Include the report name, the module, every parameter you entered (dates, quarter and year, department, record number), what you see (empty, white screen, an error message, or missing from the menu), a screenshot of the viewer with the Parameters Panel showing, the browser you are using, and one or two record numbers you expected to appear. That lets us reproduce it right away.
✅ Pro Tip: Before concluding a report is empty, set the date range to the full current year and click Refresh. If rows appear, the issue is the range, not the report.
