Why did a record's status change back?
You set a record's status, and later it shows a different value, often the one it had before. Any user who can open the record can find out what happened. There are four usual causes, and the record's Log tells you which one applies. Work through the checks below in order.
First, check the Log
- Open the record.
- Click Log in the bottom toolbar.
- On the Record History tab, look for status change entries. Each one shows the date, the user who made the change, and the value before and after.

What you find there points to the cause.
Your status change is not in the Log at all
Status changes only take effect when the record is saved. If you changed the status and then navigated away or closed the record without saving, the change was lost. Set the status again and click Save before leaving the record.
On rare occasions, a save runs into an error that is not clearly displayed. If you are sure you saved but the Log shows nothing recent, try the status change again and click Save explicitly, then check the Log for the new entry.
The Log shows another user changed it
Every status change is recorded with the name of the user who made it and the time. If a coworker's name appears, check with them. They may have had a reason, or they may have been working in the record at the same time as you.
The Log shows your change saved and then changed again
This almost always means a workflow changed it. Workflows can be set up to move a record's status based on conditions, for example setting it back to "In Progress" when a new entry is added to a sub-table, or when a required field is left blank. To see which workflows exist for the module:
- Go to Account Settings.
- Click Module Configuration and select the module.
- Click the Workflows tab.
- Click each workflow name and look for one whose trigger or action involves a status change.
If a workflow is responsible and you do not think it should be, reach out to our support team. Workflows are configured by our team, so you will not be able to change it yourself.
What to send our support team
Include the module, the record number, the name of the workflow if you found one, the status you set, the status it changed to, and what you expected to happen. That is usually everything we need to adjust the workflow.
✅ Pro Tip: If a status keeps reverting when you fill in a certain field or add a certain entry, note that pattern and include it in your message. It usually identifies the trigger right away.
