Which construction report answers which question?
The Construction Permit module comes with a small set of standard reports, and each one is built to answer a different question. Running the wrong one is the most common reason a report "only lets me pick a date" or "does not show what I need." This article is for anyone with access to the Construction Permit module and its reports. It matches the questions we hear most often to the report, export or screen that answers them, and explains when a new report is genuinely needed.
Where to find the reports
- On the Home Page, open the Reports section in the left navigation and scroll to the Construction Module list, or
- In the Data Viewer or on an open permit, click the Reports dropdown at the top of the screen.
- The report opens in a new tab. Set the parameters in the panel on the right. The report reloads on its own each time a parameter changes. If a field says "Please input a valid value," a selection is required before it will run.
- Use Download in the report toolbar for PDF, Excel or CSV, or Print.
Match your question to the right tool
- "What inspections happened on this one permit, with results and notes?" Open the permit and click the Inspections tab. The grid lists every inspection on the permit with Subcode, Date, Type, Result, Ready for Certificate, Inspector, Added By and Added Date. Click the pencil icon on a row to read the notes. This is not a report; it is the record itself. The Permit Activity report will not give you this, because it only summarizes permits issued and fees.
- "Which inspections did each inspector do in a period?" Run Inspections by Inspector. Parameters are a date range and an inspector name, or All. It groups inspections by inspector and shows subcode, inspection type and result. Use Select All and Clear Selection to toggle inspectors.
- "Which permits were issued, and what fees were collected, in a period?" Run Permit Activity Report. Its only parameter is a date range. It shows permits issued and fees collected, including waived fees, for management summaries and revenue tracking.
- "Do our payments match the bank deposit?" Run List of Transactions. Parameter is a date range. It lists every transaction by date, payment method and total collected, and is the one to reconcile against bank records.
- "What is the permit history for an address?" Run List of Permits by Address. The parameter is Address Like, a partial address match. Use it for public records requests, property transfers and zoning reviews.
- "What do we send the state with the quarterly payment?" Run Quarterly DCA Report. Parameters are Quarter (1 to 4) and Year. Print and mail it to the New Jersey Department of Community Affairs (DCA) with the payment.
- "What about the monthly state submission?" The Monthly DCA Report is not in the Reports list. It is generated from Account Settings in the DCA Monthly Report section, and since October 20, 2025 it is submitted to the DCA automatically on the 5th of each month. Check the DCA log there to confirm a submission went out.
- "I need a custom list with my own columns." Use the Data Viewer. Build or open a view with the columns you need (add any missing ones with the Fields button), filter it, then click Export All, or select records and click Export Selected. The export contains the visible columns only. This is the fastest way to get a list of open permits, violations or contractors in Excel.
PLACEHOLDER: Confirm whether there is a Print Menu document that prints a permit's inspection history, and name it here if so. The source material names only the TECH and REVIEW printouts.
PLACEHOLDER: Confirm whether every Construction account sees the same list of standard reports, or whether some accounts have additional or differently named reports (customers have mentioned reports such as a list of permits by block and lot and a construction violation report).
When you actually need a new report
Try these first: open the record for one-permit detail, use the Data Viewer export for a list, and use the reports above for period totals. If none of them gives the layout or grouping you need, for example a printed inspection summary in a specific format for another agency, that is a request for a new or modified report. Reach out to our support team with the module, what question the report should answer, the columns and grouping you want, the date or other filters you need, and an example of the output if you have one. Our team will review it and let you know what is possible.
✅ Pro Tip: Before you download or print any report, click Refresh in the report toolbar and glance at the parameters. A stale date range is the most common reason two people running "the same report" get different numbers.
