What is the Scheduler?
The Scheduler is GovPilot's calendar. Any signed-in user can open it to manage their own events and appointments, and users with the right permissions can view coworkers' calendars too. Dates entered on records, such as an inspection date on a permit, show up on the Scheduler automatically, so it gives you one place to see what is coming up across your modules.
How to open the Scheduler
- From the Home Page, click the Scheduler icon in the left navigation bar.

What you can do with it
- Manage your own schedule. Create events such as meetings, tasks, inspections, and appointments. Each event has a title, date and time, repeat settings, a description, and the users assigned to it.
- See your team's availability. With the appropriate permissions, you can view other users' calendars to check availability, avoid conflicts, and coordinate assignments.
- See module dates automatically. Scheduling fields on records sync to the Scheduler on their own. When an inspection date is set on a record, for example, it appears on the calendar without any extra steps.
- Set appointment limits. Each user can set a daily limit on how many appointments can be scheduled for them, along with working hours for each day of the week.
Display modes
The Scheduler offers five ways to view your calendar. Click the mode name in the Scheduler toolbar to switch. The view updates right away.
- Day shows a single day broken into hourly time slots.
- Work Week shows Monday through Friday only, with weekends hidden.
- Month shows a full monthly grid with every event at a glance.
- Agenda shows a chronological list of upcoming events with their times. This is the quickest way to scan what is ahead without a grid.
- Timeline lays the schedule out horizontally, which helps when you need to spot overlapping assignments.

Moving between dates
- Click Today to return to the current date.
- Use the forward and back arrows to move through time.
- Click the calendar icon to jump to a specific date.
✅ Pro Tip: If you mainly want to know what is next on your plate, switch to Agenda mode. It lists your upcoming events in order with their times, without the empty space of a grid.
