What can I change myself, and what needs a support request?

Many day-to-day settings in GovPilot are managed by your system administrator in Account Settings or directly within the platform. Others are built and maintained by our team. This article lists the most common tasks in each group so you know whether to make the change yourself or reach out to our support team. Most self-managed tasks require a system administrator role.

Users and roles

You can do all of these yourself under Account Settings, User Role Management:

  • Add a new user, deactivate a user, or reactivate a user
  • Give a user access to a module or remove it
  • Create a module group and assign it to a user
  • Create a custom user role and choose its capabilities
  • Assign a user to a title or remove them from one
  • Re-send a welcome email by opening the user and clicking Save

Users reset their own passwords from the login page using Forgot your password?

Creating a new title requires a support request. Include the title name, the module it applies to, which notifications it should control, and the users to assign.

Module settings

You can do these yourself under Account Settings, Module Configuration:

  • Reset permit, license, or reference numbers, and set an automatic reset date (Serial Numbers tab)
  • Adjust module setup options (Module Setup tab)
  • Set the default Data Viewer columns all users see, and the fields shown on Recent Records and the Property Profile (Field Mapping tab)
  • See every user with access to a module (Permissions tab)
  • Cap the number of incoming public applications (Limits tab)

These require a support request:

  • Adding a workflow or changing one, including who receives automated emails
  • Changing fee schedules
  • Creating or changing reports
  • Creating or changing letters, notices, and other templates
  • Changing the fields or structure of a public form
  • Adding a new module

Lookup tables

You can add a value to most dropdown lists yourself. Click the magnifying glass on the field, click Add New, and submit. You can also go to Home, Modules, Lookup Tables, open the table, and click Create New for each value. Some tables are managed by GovPilot. If a table does not appear in the Lookup Tables module, reach out to us.

Public forms page

You can update the logo, page title, return link, banner message, colors, and department groups yourself under Account Settings, Public Forms. Changes to the questions inside an individual form require a support request.

Map

You can choose the fields shown in the parcel hover panel, add or remove module layers, change layer colors, and choose which layers show on the public map. Importing a custom layer such as a zoning map or hydrant data requires a support request. Send us the file and we will import it.

Properties and tax records

You can hide a property from public view, edit address and owner details, update assessment and tax values, manage property flags, and bulk upload tax records using the template under Account Settings, Tax Records Update.

Email

You can switch outgoing email from the GovPilot default to your own email account under Account Settings, Email Sender. To add or remove someone from a notification that is sent by a workflow, reach out to us with the module name, the workflow name, and the email address to add or remove.

Always handled by our team

  • Fees and balances that are wrong or not calculating. Include the record number, what it shows now, and what it should show.
  • Letters pulling the wrong address or name. Include the document name, the module, and a record number.
  • Reports that cut off text, print blank, or return an error. Include the report name, the module, and a screenshot.
  • Bulk imports, bulk updates, and bulk attachment exports. Include the module, the scope, and a sample of the data.
  • Payment integrations with your finance software.

✅ Pro Tip: When you reach out, include the module, the record number if there is one, what happens now, and what should happen instead. That is usually all we need to get started.
