How often is parcel and owner data updated, and how do I request a refresh?

A property sold months ago and GovPilot still shows the old owner, or a new subdivision does not appear on the map. Owner, assessment and parcel data in GovPilot comes from your tax and GIS records, loaded at implementation and updated periodically. It is not a live feed. This article explains where that data comes from, what you can correct yourself, how to request a refresh, and what to include. Checking the data is open to any user; uploading or editing it requires a system administrator or a specific permission.

Where the data comes from

Two separate sets of data are involved, and they are updated separately:

  • Tax and owner records: the owner name, mailing address and assessment details shown at the top of the Property Profile. New records created for a property autofill the Owner in Fee and address from this data, and mail merge letters use it. Stale owner data therefore means notices addressed to a previous owner.
  • Parcel data: the parcel boundaries and addresses on the GIS map and in property search. New parcels, subdivisions and addresses created after the last import are not on the map until the parcel data is updated.

Most municipalities receive tax data from their county and update it periodically, for example annually or quarterly, rather than continuously. A parcel data update does not update tax assessment information, and a tax records update does not redraw parcels.

PLACEHOLDER: Confirm whether GovPilot runs an automatic tax data update for some accounts (the Property Profile editing article refers to "GovPilot's automatic tax data updates"), on what schedule, and whether that applies to all municipalities or only those with a data feed arranged. Do not publish a specific frequency until confirmed.

PLACEHOLDER: Confirm how a user can see the date of the last tax or parcel data update. The Tax Records Update History table shows the date of each CSV upload done by the municipality, but it is not clear whether it also shows updates run by GovPilot.

Correct a single property yourself

If one property's owner or mailing address is wrong, a user with the Edit Property permission can fix it directly:

  1. Search the address in the Global Search bar to open the Property Profile.
  2. Click the pencil icon in the property information section at the top.
  3. Update the owner name, mailing address or property address, and click Save. The change applies immediately. New records for that property autofill with the new information, and the public map and public forms show it.

Once you edit a property this way, that parcel is removed from automatic tax data updates so your change is not overwritten. You will maintain that property manually from then on. A system administrator grants the permission under Account Settings, User Role Management, Role Management: open the role, click Manage, check Edit Property under the Property header, and save.

Update all tax records yourself

If you have a current tax export from your county, a system administrator can load it:

  1. Go to Account Settings, then Tax Records Update.
  2. Download the Tax Update CSV template and read the instructions on the first tab. Enter data on the Tax Records tab, keeping the columns and headers as they are. Parcel Identifier, Property Address and Owner 1 Name are required, and each Parcel Identifier must be unique.
  3. Save the file as .csv, drag it onto the upload area or click Select files, then click Execute Update.
  4. Check the Tax Records Update History table for the counts of New, Updated and Rejected rows. Download the Rejected Files entry to see why any rows failed.

Request a parcel or map refresh

Parcel boundaries, new lots and subdivisions, pins in the wrong location, and differences between the staff map and the public map are updated by our team. Reach out to our support team and include:

  • Your municipality name.
  • What is wrong or missing, with specific addresses or block and lot numbers.
  • For a pin in the wrong place, where it appears now and where it should be.
  • The updated shapefile or county parcel export (for example MOD-IV data), if you have it. If the county's data itself is wrong, the correction starts with the county assessor or GIS office, and then we import the corrected file.

If you would like us to refresh tax and owner data rather than uploading it yourself, include the county tax export in the same request.

✅ Pro Tip: Before sending a letter to a property that recently changed hands, open the Property Profile and check the owner at the top. If it is wrong, a quick pencil-icon correction fixes the autofill on every new record from then on.
