How do I sort records in my view in the Data Viewer?
Reorder the records in your view by sorting any column in ascending or descending order.
Sorting lets you change the display order of records in the Data Viewer. For example, you can sort by Date Entered descending to see the newest records submitted at the top.
How to Sort Records in the Data Viewer
To apply a quick sort to a single column:
-
Hover over the column header you want to sort by.
-
Click the header once to sort in ascending order.
-
Click again to sort in descending order.
You’ll see a small up or down arrow appear only after the sort has been applied—this indicates which column is currently being used for sorting and in what direction. To clear the sort, click the column header again until the arrow disappears, or adjust your sorting from the toolbar.
Advanced Sorting
Need more control? You can apply multiple levels of sorting by using the Sorting option in the toolbar. This allows you to sort by more than one field at a time—for example, sort first by Status, then by Date Received.
Follow these steps:
-
Click the Sorting button on the top toolbar.
-
Click + Add Sorting.
-
Select the field you want to sort by (e.g., Date Entered).
-
Choose the sort direction:
-
A→Z or 1→9 for ascending
-
Z→A or 9→1 for descending
-
-
(Optional) Click + Add Sorting to continue adding sorts by additional fields. The order you add sort rules matters—the first rule takes priority.
Save sorted views
Once you’ve applied sorting, you can save the setup for future use:
-
Save will overwrite the current view.
-
Save As lets you create a brand new view.
