How do I reset serial or reference numbers for a module?

Permit numbers, license numbers, tag numbers, and other reference numbers are generated from a sequence set for each module. System administrators can change the next number in the sequence and set it to reset automatically each year. This article explains how to do both.

Change the next number in the sequence

  1. Go to Account Settings and click Module Configuration.
  2. Select the module from the left panel.
  3. Click the Serial Numbers tab. The current next value is shown, broken into its prefix, year, and sequence parts.
  4. Enter the new value.
  5. Click Reset. The next record created in the module uses this value, and the sequence continues from there.

Set an automatic yearly reset

  1. On the Serial Numbers tab, check Reset On.
  2. Set the reset date, such as January 1.
  3. Enter the value the sequence should reset to on that date.
  4. Set the Month, Day, and Fiscal Year options as needed for your municipality.
  5. Save your changes. The sequence resets to the target value on that date each year.

Common situations

  • Starting a new year. Set the next value to 1, or to your municipality's usual starting number, and click Reset. Or set up the automatic reset so you do not need to remember each year.
  • A number was skipped or duplicated. Enter the correct next value and click Reset.
  • A number on an existing record is wrong. Open the record and edit the number field directly if it can be edited. If the field is locked, reach out to our support team with the module, the record number, what the number shows now, and what it should be.
