How do I limit the number of incoming public applications?
System administrators can cap how many new records a module accepts within a set period. This is useful when you want to close a garage sale permit form once a weekly cap is reached, or stop event registrations when a session is full. Once the cap is reached, applicants see a rejection message you write instead of the form.
Add a limit
- Go to Account Settings and click Module Configuration.
- Select the module from the left panel.
- Click the Limits tab. The tab is titled Limiting New Records.
- Click + Limit to add a limit row.
- Fill in the row:
- Record limit of: the maximum number of new records allowed
- every: the period the limit resets over, such as daily, weekly, or monthly
- starting from and to: the dates the limit is in effect
- applies to: which submissions count toward the limit, such as public form submissions only or all records
- Click the save icon on the row.

You can add more than one limit to the same module. Each appears as its own row with a save icon and a delete icon.
Write the rejection message
- Below the limit rows, enter your message in the Rejection Message editor. This is what applicants see when they try to submit after the limit is reached.
- Explain that submissions are closed and, if it applies, when they can try again or who to contact.
- Click Save at the bottom to save the limits and the message together.
Remove a limit
Click the delete icon on the limit row. When no limits are configured, the module accepts new records without restriction.
Things to know
- Limits only affect new records. Records already submitted are not changed.
- Records created by staff are not counted unless the applies to setting includes them.
- If residents report that a public form is showing a rejection message unexpectedly, check this tab first. A limit may still be active.
✅ Pro Tip: Include a date or a clear next step in your rejection message, such as "Applications reopen Monday at 8:00 AM," so residents know when to return.
