How do I bulk edit records in the Data Viewer?

Any user with edit access to a module can update a field on many records at once from the Data Viewer. Bulk edit saves you from opening each record one at a time when the same change applies to all of them, such as reassigning an inspector or updating a status.

Select the records

  1. Open the module's Data Viewer.
  2. If the records you need are not all visible, filter the view first to narrow the list.
  3. Use the checkboxes on the left to select the records you want to change. The checkbox in the header selects every record on the current page. Selected records move to the top of the list.

You can select up to 50 records at a time. For larger sets, work through them in batches.

Make the change

  1. Click Bulk Edit in the toolbar. A window opens showing how many records you are editing.
  2. Choose the field you want to change from the Field to change dropdown. A text box or a dropdown appears, depending on the field type.
  3. Enter or select the new value.
  4. Click the green + to stage the change. It appears in the list below as "Field => Value" with a red minus button you can click to remove it.
  5. Repeat for any other fields you want to change. You can stage more than one field before saving.
  6. Click Save. All staged changes are applied to every selected record.

✅ Pro Tip: Review the record count in the Bulk Edit window before you save. It is the quickest way to confirm you selected the right records.
