How do I assign a user access to a module?

Give a user access to specific modules in GovPilot based on their role and responsibilities.

Administrators can assign access to individual modules based on a user’s responsibilities. This controls which modules the user sees on their Dashboard and whether they can view or interact with records in those areas. A user can be assigned to one module, multiple modules, or all available modules depending on their role.

Steps to assign access to individual modules:

  1. From the Home Page, click the gear icon to open Account Settings.



  2. In the left-hand menu, click User Role Management.



  3.  Click the User Management tab.

  4. Locate the user and click their blue highlighted email address to open their User Details.

  5. In the Role Information section, click Assign Module.



  6. From the dropdown, select the module you want to assign.



  7. Choose the Data Access Type to determine the level of access to the module. (Full Access, View Only, Edit Only, Data Entry, Custom, Add Only, Edit & Delete)
  8. Next, review and select related tables, forms, printouts, and reports the user will have access to. Pay close attention to the selections here to ensure the user has the appropriate access within the module. 

  9. Note that you can override default settings for related tables if necessary.

    For example, let's say you want to give the user Data Entry Access, but restrict them from entering transactions. In this case, you can set that specific table to view only. Just remember that you can't grant a higher access to a related table than what is set in the main access type.
    In the example shown, this user has Data Entry access to a module, but can only view Transactions. 

     

  10. Click "Save" to confirm the changes, and you'll be redirected back to the user details panel. You'll see the module you assigned listed under Role Information, notice the Type is "Single".
     

    This user has the Report a Concern module assigned.
  11. Click Save to confirm the settings. 

The assigned module will now appear under the user’s Role Information with a type labeled Single. If you ever need to make changes to the access type or related objects for this module, simply click the pencil icon next to the assigned module to edit the settings.


Best practices:

  • Only assign modules relevant to the user’s role to avoid clutter and confusion.

  • Customize access to related items carefully to align with job responsibilities.

  • Revisit user access periodically to ensure it reflects their current duties.
