How do I add someone to an email notification?

Assign users to titles in Title Management to ensure they receive workflow-related email notifications.

In GovPilot, email notifications in workflows are tied to Titles—which represent user roles or job functions. If someone isn’t receiving a notification, it usually means they haven’t been assigned to the title associated with that workflow. Here’s how to fix that (if titles are already set up in your account).

Steps to Add a User to an Email Notification:

  1. From the Home page, click the gear icon in the top right menu to go to Account Settings.



  2. In the side menu:

    1. select User Role Management
    2. then click the Title Management tab.



  3. Locate the title connected to the workflow (e.g., “Administration Concerns” or “Construction Reviewer”) by

    1. Using the search bar to narrow the list
    2. Scrolling with the scroll bar to find the title



  4. Next to the correct title, click the Assign button.



  5. Add a User

    • In the assign pop-up window, use the search bar to find a user by name or email.

    • Click their name to add them to the title. You’ll see their name highlighted in green.



  6. Click Save to finalize the assignment.

Once assigned, the user will automatically begin receiving email notifications triggered by that title in the workflow.


⚠️ Don’t See the Title You Need?

If there are no titles in your Title Management list, or the title you need doesn’t exist, you won’t be able to assign users yourself.

  • The title name

  • Its purpose

  • The module and workflows it will be used in

  • The initial users you want assigned

🚫 Important: Do not use the "+Add New Title" button unless you're part of the Onboarding or Support teams.


Best Practices:

  • Double-check the workflow to confirm which title is tied to the step sending the email.

  • Assign more than one user to a title when multiple team members should receive the same notification.

  • Review assignments regularly as staff roles evolve to keep email routing accurate.
